*Primary Purpose:*
Reporting to the Senior Accountant of Acsenda School of Management (ASM), the primary purpose of the role is to complete full cycle AP, ensure accuracy of student records, and other financial duties for ASM. Based in Vancouver, this position will provide day to day transactional support for ASM as well as assist the Senior Accountant of ASM with month end and year end closing and reporting.
*Key Responsibilities & Accountabilities*
Key Responsibilities of this role include:
Accounts Payable
* Ensure accuracy and consistency of invoices and documents (i.e. supplier contracts, PO?etc)
* Code and enter invoices in accounting system for payments and ensure correct approval, coding, and matching
* Verify vendor accounts by reconciling monthly statement and related transactions
* Process staff and travel expense reports and check for accuracy of employee reimbursement expenses before processing
* Oversee processing of student refund requests according to ASM policies and reconcile the student?s financial records in Student Management System.
* Reconcile corporate credit card statements and associated expense reports/ invoices/ receipts.
* Maintain an up-to-date list of suppliers and their contract details
* Initiate bank transactions for payment
* Oversee pre-authorized debit transactions, record transactions in accounting system and ensure that all relevant documents are verified and obtained
* Record payments in accounting system and in Student Management System (for student refunds)
* Complete weekly bank reconciliations of operations bank accounts
Cash Flow Management
* Monitor daily cash balance and ensure that the operations bank account has sufficient fund to cover upcoming payments
* Prepare 13 Week Cash Flow Forecast upon request from Senior Accountant or Finance Director
* Timely deposit cheques/ bank drafts paid by ASM students and customers
* Oversees external billings as required
Student Inquiry and Student Management System (SMS)
* Ensure financial data is up to date in accordance with student enrolment contract
* Respond to inquires regarding student accounts within a reasonable timeframe
* Reconcile student medical insurance and FITT exam fee transactions
* Record bursaries that ASM paid to students
* Respond to inquiries from students about T2202 forms
* Assist Senior Accountant in testing new financial features implemented in SMS
Assist with month end and year end closing and reporting
* Ensure timely responses to month end and year end queries
* Prepare accrual report for the expenses incurred in the reporting period, but not yet recorded in the accounting system
* Update fixed asset registers in coordination with ASM administration manager
* Assist Senior Account in preparing monthly textbook inventory reports
* Control ledger and subledger reconciliations
* Provide supporting documents for the samples selected by auditors for the mid-year and year-end audits
*POSITION KPI?S*
* Timely and accurate processing of AP
* Accuracy of bookkeeping and financial reporting
* Timely processing of postings to SMS
* Accuracy of student accounts, payments and refunds
This role will require the incumbent to perform the duties remotely or on site as directed by Management. Regardless of work location key targets, tasks, goals and projects must be delivered
