*We are seeking a highly organized and detail-oriented Accounting Assistant to provide exceptional support to the accountant and firm. *
In this crucial role, you will contribute to the smooth operation of the firm's financial function by handling a variety of accounting and administrative tasks including client billing, processing of accounts, bookkeeping, payroll, general office and equipment maintenance.
*Key Responsibilities:*
_*Accounting and Bookkeeping:*_
* Process accounts payable and receivable invoices, ensuring accuracy and timely payments and collections.
* Prepare and manage client billing, following up on outstanding receivables from time to time.
* Assist with bank statement reconciliations.
* Participate in payroll processing and maintain accurate payroll records.
* Assist in the preparation of financial reports and budgets.
* Collaborate on the preparation of financial documents for audits and reviews.
* Maintain organized and accurate filing systems.
* Contribute to additional tasks to support the firm's financial operations.
_*Administrative Support:*_
* Facilitate onboarding for new employees by setting up accounts and profiles on essential software, address books, distribution lists, and copiers.
* Coordinate with Information Technology, Building Management, and Security services to set up computers, appropriate access and accounts for employees.
* Provide general office support such as answering phones, managing mail and courier services, ordering and maintaining office supplies including computers, coffee, and other essentials.
* Oversee the functionality and maintenance of office equipment by coordinating with vendors for equipment servicing and repairs as needed.
* Provide administrative support as needed, including bank runs, daily mail and courier preparation.
* Offer additional administrative support as required.
*Qualifications:*
_*Education and Experience:*_
* Minimum requirement: High school diploma or equivalent.
* Preferred qualifications: Diploma or associate's degree in accounting, bookkeeping, or a related field, with one year of experience in an accounting or bookkeeping role, ideally within a legal environment.
* An equivalent combination of education and experience may be considered.
_*Knowledge, Skills, and Abilities:*_
* Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook)
* Expertise and ability to work with software for accounting purposes within the legal industry, such as PC Law and/or Soluno (preferred), Copitrak, Worldox, and/or Net Docs (preferred).
* Meticulous attention to detail and exceptional organizational skills.
* Excellent communication and interpersonal skills.
* Ability to handle sensitive information with confidentiality.
* Proven time management and prioritization skills.
* Basic understanding of accounting principles and practices.

Pay: $45,000.00-$60,000.00 per year
