The transition from the RCMP to SPS is well underway and SPS has spent the past three years building a local, modern, accountable police service for Surrey residents. On November 29, 2024, SPS will become the police of jurisdiction, assuming responsibility for policing and law enforcement in Surrey. Since day one, SPS has been intentional about building a culture that is inclusive, respectful, and supportive, with a strong focus on employee wellness and career development.POSITION OVERVIEW:SPS has an exciting opportunity for an Administrative Assistant to join the Corporate Services Bureau. Reporting to the Deputy Chief Constable, the incumbent will perform a broad range of administrative support duties, many of which are confidential in nature.The incumbent will be responsible for liaising with senior executive police managers, the City of Surrey, Provincial and Federal Government officials as well as private sector business leaders. This position also works closely with a team of administrative assistants as well as the Surrey Police Board.RESPONSIBILTIES: Supports the Deputy Chief Constable and other staff in the Bureau by providing administrative duties, including managing schedules, calendars, emails, phones calls and incoming/outgoing correspondence. Prepares meeting minutes, memos, reports, agendas, documents, and correspondence. Collects and maintains data and statistics for the Bureau. Conducts research, compiles statistical data, and prepares reports using various systems. Analyzes incoming and outgoing memoranda, submissions, and reports, and prepares and coordinates the preparation and submission of summary briefs and reports. Liaises with other police agencies, federal and municipal officials and with other organizations and associations to provide reports, data, and/or obtain information required by staff in various divisions. Builds and sustains effective relationships with a diverse range of internal and external stakeholders. Ensures compliance with appropriate policies and protocols for the work. Assists with preparing annual operating and capital budgets. Monitors assigned spending accounts. Initiates purchase requests for supplies and equipment.The successful candidate will possess excellent written and verbal communication skills with the ability to establish and maintain effective working relationships with a diverse variety of internal and external stakeholders. The incumbent will be able to manage a complex workload, be flexible with change and meet deadlines under pressure and within a fast-paced environment with multiple priorities. This role requires excellent standards in records management and file keeping best practices in accordance with legal requirements. The successful candidate demonstrates good judgment, critical thinking, and problem-solving skills, with a high level of accuracy and attention to detail with strong proficiency using the MS Office Suite (Outlook, Word, Excel, PowerPoint, Adobe).QUALIFICATIONS:The successful incumbent will have: A Diploma in Business or Office Management. 5 years of relevant work experience preferably in a policing environment working directly with senior leaders/executives. Proficiency in Microsoft Office and Adobe Acrobat Pro. Progressive related training, with a focus on information management systems and the related technologies will be considered an asset.
