*Reports to: *Vice-President of Alternative Lending and Managing Director
*Description:*
Working with multiple divisions within the Capital West firm, this position is the first point of contact for the company. Administrative support, organization, and multitasking are key aspects of this role. The ideal candidate will have a positive personality and a strong ability to communicate. The position provides support to our team as well as the Managing Directors.
*Key Responsibilities:*
· Managing front area reception traffic ? guests, phone calls, and deliveries.
· Providing general administration support to the accounting and brokerage departments.
· Providing administration/PA support to the directors.
· Managing office correspondence.
·Daily Banking (corporate and personal accounts) - online (on scanner) and in-person deposits.
· Organizing daily lunch orders and catering for the office.
· Providing employee support ? ordering business cards, building access cards, fobs, office equipment such as telephones, keyboards etc.
· Ordering office supplies.
· Tracking of the insurance policies for the mortgage portfolio.
· Booking travel reservations - hotels, restaurants, cars, flights, etc.
·Commercial deal tracking: setting up calendar reminders pertaining to loan maturity dates.
· General filing.
· General tidying and sanitizing of the office - island, kitchen, and printer room.
·Event planning: director meetings and planning sessions, tradeshows and promotional events, holiday office parties and holiday client parties.
· Coordination of document signing through the DocuSign platform.
· Assisting with additional ad hoc projects.
*Education / Experience / Skills:*
* Minimum 1 year experience in an office administration, receptionist or similar role
* Excellent verbal and written communication skills
* Ability to multi-task and work towards deadlines
* Proficient with MS Office, Web-savvy (performing research, Cloud files, etc.)
* Positive attitude and desire to help others
* Great attention to detail and good follow-up skills
* Reliable, dependable and calm under pressure
