<p>SUMMARY OF THE POSITION<br>A person who analyzes needs, develops and provides professional techniques relating to administrative methods and systems in order to improve the functioning of services.</p><p>SPECIFIC FUNCTIONS<br>Reporting to the Coordinator, Mobile Hospital Unit (MHU), and in close collaboration with the team of Emergency Measures and Services, the incumbent:</p><ul><li><p>Supports all phases of the MHU from planning to deployment in all emergency situations<br>o Collaborate to tactical and operational planning <br>o Assist the coordination for the MHU deployment <br>o Provide logistics support for equipment and material transportation<br>o Provide logistics support for human transport during evacuation<br>o Collaborate for the warehouse organization and inventories.</p></li><li><p>Contribute to the daily operations of the department <br>o Develop an administrative support system based on the department's needs <br>o Give support for data collection, analysis and communication within the team, in the organization and with partners<br>o Give support for policy and procedures elaboration <br>o Organize meetings (in person, or virtually)<br>o Support working groups for organizing their work sessions and meetings<br>o May be requested to take minutes/report on work sessions and meetings<br>o Contribute to the Admin staff orientation, training and coaching.</p></li><li><p>Supports financial procedures<br>o Budgets preparation <br>o Financial review and reporting<br>o Contracts elaboration and follow-ups<br>o Requisitions for goods & services, purchase orders, receive quotations and invoices, payments, etc.</p></li><li><p>Assists Human Ressources management<br>o Personnel plans updates<br>o Personnel requests <br>o IT, housing, travels, and employee moving requests.</p></li></ul><p>REQUIREMENTS<br>Education: * Must have a bachelor's degree in administrative sciences, humanities, social sciences or another appropriate university discipline.<br>Experience:</p><ul><li>A minimum of three (3) years of experience in her/his field of specialization. </li><li><p>A minimum of two (2) years of appropriate administrative experience.<br>Knowledge and Abilities:</p></li><li><p>Knowledge of administrative systems, techniques and practices;</p></li><li>Knowledge of the MSSS Network and administrative regulations is an asset;</li><li>Knowledge of First Nation social service models, trends and issues;</li><li>Knowledge of Cree culture, health and social wellbeing determinants, Eenou/Eeyou Pimaatsiiun healing practices and paradigms is an asset;</li><li>Capable of learning financial and human resources management software applications with a minimum of instruction; </li><li>Strong problem-solving capabilities;</li><li>Strong ability in organization, project management and communication;</li><li>Proven experience in working under pressure and multitasking;</li><li>Experience in emergency management is an asset;</li><li>Ability to work in collaboration with clinical, and non-clinical team members and colleagues;</li><li>Ability to communicate practical knowledge, as applied to coaching and training;</li><li>Sense of accountability, resourcefulness and vigilance;</li><li>Autonomy and flexibility. </li></ul><p>LANGUAGE* Fluent in English;* Fluency in Cree and French is an asset.</p><p>OTHER* Willing to travel in the 9 communities.</p>
