KenTek, a leading residential, commercial, and industrial heating, air conditioning, and ventilation cleaning company, is seeking a skilled Office Administrator to join our team in Vernon River, PEI. As an Office Administrator at KenTek, you will play a crucial role in ensuring the smooth operation of our office while supporting our specialized services in restaurant ventilation system cleaning and air duct cleaning for various clients.
* Manage incoming and outgoing phone calls, providing professional and friendly customer service to clients and business partners.
* Generate invoices, process payments, and maintain accurate records of financial transactions.
* Assist in scheduling appointments, meetings, and travel arrangements for team members.
* Maintain and update spreadsheets, databases, and other records as needed.
* Organize and maintain physical and electronic files, ensuring proper documentation and easy retrieval.
* Monitor inventory levels and order office supplies, equipment, and materials when necessary.
* Assist in public relations activities, including managing social media accounts, drafting communication materials, and organizing events.
* Note: The job duties listed above are not exhaustive, and additional responsibilities may be assigned as needed to meet the business requirements.
Qualifications:
* Previous experience in office administration or a related field is preferred.
* Proficiency in using standard office software, including word processing, spreadsheets, and email.
* Excellent communication skills, both written and verbal, with strong phone etiquette.
* Strong organizational and multitasking abilities, with a keen attention to detail.
* Ability to work independently and collaboratively.
* Familiarity with basic accounting principles and invoicing procedures is a plus.
