*Job Description*
The admin assistant occupies a critical role enabling the organization to achieve its objectives. Having a strong background in administrative tasks management, the desired candidate is ambitious, eager for success and results, has strong customer service experience, the ability to maintain and coordinate daily administrative tasks and ultimately demonstrates a passion for the tool industry. Demonstrating a high level of work organization and work structure, the admin assistant assures all standards established by head office are followed in administrative tasks and documents of the whole store.
The candidate is responsible of documents compliances according to the company standards. The quality of customer service and the customer experience are the priority. The office admin also excels at mentoring the team for standards compliance.
*Main Responsibilities*
* Collaborate closely with the Managers to prepare managerial reports and presentations as required.
* Engage in daily correspondence with the Head Office to ensure effective communication and alignment of objectives.
* Organize and schedule appointments, meetings, and travel arrangements to optimize time management and efficiency.
* Perform data entry and reporting tasks, including updating information in the company database with accuracy and attention to detail.
* Provide excellent customer service by greeting and assisting visitors to the office, addressing inquiries, and delivering information in a timely manner.
* Conduct follow-ups on various tasks and inquiries to ensure resolutions are achieved promptly.
* Assist in coordinating staff and store events, fostering a positive team environment.
* Uphold strict confidentiality regarding sensitive information and adhere to company policies.
* Demonstrate a collaborative approach when working with the Head Office and other store locations to facilitate effective communication and operational efficiency.
* Proactively identify and implement process improvements to enhance overall administrative functions.
*Experience*
* Minimum 3 years of administrative management experience
* Experience in the tool industry or other industry related to tooling will be considered as an asset.
* Must have the ability to work in an organized manner, have a work ethic where judgment, logical reasoning and initiative are advocated and used daily.
* Must have vast customer service experience.
* Must be able to adapt to changes, delays and unforeseen events in a positive and professional manner.
*Skills *
* Excellent business knowledge
* Speaking proficiency in Mandarin is preferred and will be considered an asset
* Should possess advanced skills in excel
* Excellent attention to detail
* Excellent ability to develop, integrate and maintain work procedures
* Ability and thirst for continuous learning
* Excellent ability to communicate verbally and in writing
