*Who we are*
We are currently seeking an experienced and entrepreneurial administrative assistant to support one of the leadership members (TBD) in managing a wide array of tasks critical to the success of our rapidly growing company. Operating primarily in the B2G (business-to-government) sector with TalosTech.ca and our different divisions, our company delivers a wide range of services and products to Canadian government bodies at the municipal, provincial, and federal levels.
We are a small startup in Victoria BC, where you'll be working alongside a team of 8 youthfully-energetic people, with the plan to grow to a team of 20 within the next two years, and then scale exponentially thereafter. There are ~80 contractors who work with us across Canada as well. In-office activities include a morning huddle to ask insightful questions in the morning, workout at lunch, appys and drinks at the end of the month, and good music throughout the day.
*Who you are*
This role is particularly suited for someone who thrives in a fast-paced environment and has experience across multiple facets of business operations, from project coordination to client management to business development to marketing and sales.
The ideal candidate will be a proactive, highly organized individual capable of anticipating the needs of executive leadership and handling complex tasks with minimal supervision. As an integral part of our leadership team, this role offers a unique opportunity for growth, with the potential to move into a leadership position as the company scales. You will be well compensated as the company grows as you will be integral to the leadership team.
*Key Responsibilities:*
* *Executive Support*: Assist one of the leadership members (TBD) in day-to-day operations, managing their tasks, emailing on their behalf, organizing meetings, and handling critical tasks to keep the leadership team focused on growth and strategy.
* *Client Relationship Management*: Build and nurture strong relationships with government clients, ensuring their needs are met efficiently and professionally. At times, you will be required to pickup the phone and call people if needed.
* *Communication Management*: Organize and manage communications, ensuring timely follow-up and streamlined workflows. Liaise with internal team members to gather necessary information and maintain high administrative efficiency.
* *Project Coordination*: Assist in scheduling and resource allocation, coordinating across various teams to ensure projects run smoothly and on time.
* *Sales and Business Development Support*: Assist in preparing proposals, presentations, and quotes, while following up with potential clients to secure new business opportunities.
* *Internal Operations*: Oversee administrative tasks such as tracking assessments, invoices, project deadlines, and team performance metrics to ensure everything stays on track.
* *Leadership Collaboration*: Work closely with the leadership team on high-level projects and initiatives, playing a key role in shaping the future of the company.
* *Meetings and Communication*: Facilitate and manage internal and external meetings, including client calls and executive briefings.
*Preference*:
* *Experience Level*: 3+ years managing complex administrative tasks across various business areas.
* *Entrepreneurial Spirit*: Proven ability to take initiative and manage multiple responsibilities with an ownership mindset.
* *Versatility*: Experience across diverse business functions such as operations, sales, marketing, customer service, or project management.
* *Personality Style*: Highly organized, detail-oriented, and able to get it done fast. You must be open and welcoming to challenging and creative tasks, asking questions when uncertain.
You will be working directly alongside one of the leadership members (TBD), assisting one of them with their tasks.
